DC for Clients and Facilitators

Listed below is a description of events that take place before, during and after the DC program.  It is important to review the outline and schedule to make sure you are familiar of the time commitment necessary to ensure the success of the program.

Pre-DC Preparation

    1. Case Folder:  Use the online Case Folder to review the case and store all changes/additions.
    2. Communication:

        Client: As early as possible to discuss case and plan for client issues. At a minimum, touch bases so that the client knows when he/she is likely to hear more about the case.

        Co-facilitator: If you are the on-site facilitator who is co-facilitating with an out-of-town guest (or with a new or inexperienced facilitator), it is your responsibility to organize the case and send the necessary case materials to your co-facilitator.

    3. Clinic Scenario: Prepare Day 1 clinic scenario to be ready to be emailed to students the morning of Day 1, or for some cases the evening before.
    4. Client Script Example: Review your already prepared Day 1 Client Script and email to client (at least 1 week prior)

        Remember that clients should receive information for Day 1 ONLY, so that they don't know what's coming and don't know the Dx. Additional information is provided during each submission period & the facilitator should be working closely with his/her client. - Example of client scripts - Day 1

Daily Schedule during the week:

We will post an appointment schedule on the door, so students can schedule times to meet with you.

Day 1

  • Initial Interview starting about 9 am
    • The Interview: On the first day of the DC you will be in the Communication Center from 9 a.m. to 12:00 p.m. meeting with the 2 clinics assigned to your case.  Each of the 2  clinics will meet with the client independently for approximately 30 minutes.  At this time, the students will interview the client concerning their animal(s).

      The facilitator(s) will also act as the students' eyes, ears, and hands when they examine the simulated animal. Please note that many clinics will ask to take a "TIMEOUT" to confer, and that they will then want to meet with you for 5-10 minutes a bit later to finish their initial interview.

  • 1:30 pm – DEADLINE for first rounds of lab requests (NO SOAPs)
  • 2:30 pm : results from first laboratory submission should be returned by this time. Results may be returned earlier depending on the requests VERY IMPORTANT!
  • Before the end of the day your clinics should touch bases with you.

Day 2

  • 9 AM - SOAPs are due
  • 11 AM- DEADLINE 2nd lab submissions are due (include entire folder, with an up-to-date Master Problem List and a clear and very specific Master Plan).
  • 12 PM - Results from 2nd submission returned. Results MAY be returned earlier depending
  • 4:30 PM – DEADLINE 3rd lab submission are due submission

      (include entire folder, with an up-to-date MPL and a clear and very specific Master Plan). Complete SOAPs are not needed at this time. HOWEVER, the clinics need to provide a 1 page instruction sheet that very briefly but specifically summarizes their current plan so that the facilitator knows WHAT you are doing and WHY.

  • Return SOAPs - Clinic SOAPs will need to be returned by the end of the day

Day 3

  • 9:30 am – DEADLINE complete Medical Record, including complete SOAPs from the previous day, is due at this time
  • 10:30 am - Results from pending requests returned. Results may also be returned earlier
  • 10:00 – 1 pm - Additional laboratory submissions are available as necessary
  • 1:00-4:00 pm – Debriefing Sessions
    • VERY IMPORTANT! 45 minute debriefing sessions are scheduled for each group to discuss the case and the exercise. Facilitator(s) will lead these sessions. Clients are asked to attend the debriefings so that students can discuss the client issues with them and the client can provide feedback regarding their interactions and impressions. The students are typically very interested in your perceptions and in advice that may help them become better veterinarians.

  • 4:00 pm - Facilitator Debriefing meeting
  • SOAPs need to be returned to students by the end of the day

Day 4

    Each clinic gives a 15-minute Grand Rounds presentation summarizing their case. Schedule will be emailed out
